Visa Support Letter Request

The University of Stuttgart can provide visa support letters to registered attendees

The University of Stuttgart does not issue formal invitation letters for visas. We can, however, issue a visa support letter to registered attendees and authors with accepted papers/posters, presenters, or members of the conference committee.

If you would like to request a visa support letter, please use the form below. Please allow up to 10 business days to receive a letter. All requests are handled in the order they are received.

Please note:

  • Only accepted authors may request a visa support letter prior to registering for the conference.
  • Authors may indicate their paper title. If there is no paper, speakers can provide the title of their presentation.
  • We cannot include family members in the visa support letter. You will need to advise the embassy of your family’s travel plans.

  1. Controller and Data Protection Officer

    Information about the controller and the data protection officer can be found in the University's privacy policy.

  2. Description and Categories of Data

    From your entries in the contact form, an email is generated to the University of Stuttgart's mailroom.

    In addition to your entries in the form fields, the date and time are recorded in the generated email.

  3. Purpose

    The contact form provides a centrally facilitated means of electronically contacting the University,

    • without the need to use an email program,
    • without knowing the specific responsible department of the University or individual.

    Similar to traditional mail distribution, the mailroom directs your inquiries to the correct recipients for response or processing based on the information you provide.

  4. Legal Basis

    The legal basis is Article 6(1)(e) GDPR in conjunction with Article 6(3) GDPR in conjunction with § 4 State Data Protection Act.

  5. Recipients

    Your message is initially received by the central mailroom of the University then automatically sent to the email inbox of Sierra Kaiser. We will not share any of your data with third parties outside of the University of Stuttgart's Web Science Conference committee.

  6. Duration of Storage

    The mailroom deletes your inquiry no later than one year after receiving the email. Sierra Kaiser will delete your information one month after the end of the 16th WebSci24 Conference.

  7. Consequences of Non-Provision, Objection, or Removal Options

    The use of the form is voluntary. You can also contact the University of Stuttgart by fax, email, telephone, in person, or by mail.

    You are free to provide pseudonymous information for your name and email address, which the University cannot assign to a specific person. However, if your inquiry requires knowledge of your identity, your request may not be processed.
